We take the right to privacy of our members and all website visitors seriously, and we will only use any personal data collected and/or submitted to us during your use of this website in accordance with current UK data protection legislation and this policy.
This policy (and any other documents referred to on it) explains how any personal data that we collect from you, or that you provide to us, will be processed by us. Please read the following points carefully to be sure you understand our views and practices regarding your personal data and how we will treat it.
Any changes we may make to our Privacy Policy in the future will be posted on this page and, where appropriate, notified to you via email.

The information that we collect via this website may include:
· Any personal details that you submit such as your name, address, email address and other information.
· Data that allows us to remember you, any interest that you have recorded and how you use this website. This saves you from re-keying information when you return to this website and allows us to arrange the website content to match your preferred interests. We use “cookies” to collect this data. Cookies are text-only strings of information that are stored on your web browser or hard disk. You have the ability to accept or decline cookies by modifying the settings of your web browser. However, you may not be able to use all the facilities of this website if cookies are disabled. Please note, advertisers on this website may also use cookies, over which we (and our website operator) have no control.

· Details of your visits to this website (including, but not limited to, traffic data, location data, weblogs and other communication data) and the resources that you access.

Purpose of processing
The personal data collected is used by the Be True Designs to give you information in relation to Be True Designs membership, the Be True Designs’s website, other Be True Designs services, customer administration, prospecting new members, account management with existing members, to process and respond to queries received from the public or other relevant stakeholders, to contact you to seek your views or comments on emerging political or economic issues and to send marketing communications on the Be True Designs’s behalf or on behalf of the Be True Designs’s partners. The Be True Designs may perform statistical analyses of user behaviour and characteristics to measure interest in and the use of various sections of the website. The personal data held by the Be True Designs may also be used on an aggregate basis without any personal identifiers to provide third parties with information, such as the composition of membership, and to help us develop new member services and products, improve the features and content of the website or other marketing material, and to provide sponsors and others with aggregate information about our members, website users and their usage patterns in relation to services and/or the website.
If you or your parent company are a current member of Be True Designs, opting out of promotional emails will not stop all communication from us. By becoming a member of the Be True Designs, your firm is signing you up to receive certain information related to the organisation. It is a constitutional requirement for us to send this information to you.
If you are not a member of the Be True Designs or if your or your parent company’s membership has lapsed, you can choose to opt in or out of further contact with us. We also receive non-member data through networking (eg business cards, event registrations) and add these details, if relevant, onto our CRM or other data management system. We may on occasion receive ‘opt-in’ data (lists from reputable providers) for promotional campaigns.
What we do with the information we collect?
We will use information you supply and/or we collect through this website to:
· build our relationship with our members;
· attract new members;
· tell you about goods and/or services which we provide, or which third parties provide, which we feel may be of interest to you;
· canvas your views through surveys in relation to the services we offer, although you do not have to respond to them;
· keep our membership records up to date.
We may pass the information you supply and/or we collect through this website to third parties who provide goods and/or services which may be of interest to you.
Your information may be disclosed to regulatory bodies for the purposes of monitoring and/or enforcing our compliance with any regulatory rules/codes/laws. It may also be used for research and statistical purposes. It may be transferred to any country, including countries outside the European Economic Area, for any of these purposes and for system administration. Where this happens, we will ensure that anyone to whom we pass your information agrees to treat your information with the same level of protection as if we were dealing with it.
We may disclose your personal information to third parties without your prior consent:
· in the event that we sell or buy any business or assets: in which case we may disclose your personal data to the prospective seller or buyer of said business or assets;
· if we or substantially all of our individual assets are acquired by a third party: in which case personal data held by us about our members will be one of the transferred assets;
· if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our Terms of Use and other agreements; or to protect the rights, property, or safety of us, our members, or others.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to this site: any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
Marketing
We would like to send members and non-members information about Be True Designs including membership benefits, event and training invitations and newsletters. If you have consented to receive marketing, you may opt out at any time by following the ‘unsubscribe’ button on our emails.
How long will we store your data for?
We will store your data for the duration of your membership. We will also keep details for 36 months post-resignation, after which we will delete all personal information and keep only organisation details for archiving purposes.
Personal information we gather for non-members via event and training bookings will be deleted after 12 months of inactivity on each record (if no further bookings have been made by the individual in 12 months).
Recording of Conversations
Under data protection legislation, an audio or video recording of a conversation where any individual can be identified from the recording and/or the conversation is that individual’s personal data.
You must have an appropriate lawful basis for recording the conversation, and individuals must be aware that they are being recorded. Consent will likely be the most relevant basis for processing.
If an individual does not know in advance that their conversation is being recorded and a lawful basis for processing has not been identified, then that individual’s rights to ‘fair and lawful processing’ will be breached.
